The Lead Mail Clerk is responsible for the document insertion process for various departments within scheduled time lines; operates the Optical Character Reader (OCR) and provides supervisory support during supervisor’s absence; acts as lead to mail room personnel in addition to performing all mail room activities; delivers and processes incoming and outgoing mail; sorts incoming and outgoing inter-office mail to various department and branch locations; may be required to identify and resolve more complex mail preparation errors.

  1. Performs all duties required of Mailroom personnel during absences or heavy production periods; acts in place of supervisor when required. Duties include: operation of OCR Jetstar bar coding equipment, operation of insertion equipment, operation of metering equipment, logging and distribution of mail and proof items, pick-up and delivery of USPS/Interoffice mail, and courier assistance.
  2. Coordinates and monitors the daily workflow of Mailroom personnel to ensure quantity of work and timely processing in order to meet critical daily deadlines; determines work priorities; schedules, trains, and evaluates performance or subordinates; recommends associated personnel actions; acts in place of supervisors during his/her absence.
  3. Identifies and resolves complex problems requiring experience/knowledge beyond staff experience; responds to internal/external customer complaints concerning missing mail, courier assistance, etc.; responds and resolves issues utilizing the IRS system; identifies correct destination for undesignated mail by opening and evaluating contents.
  4. Recommends modifications to procedures to improve operating efficiency; monitors implementation of required changes; makes necessary changes to policies and procedures; approves vendor related invoices; assists with the allocation of postal expenses, monthly balancing of I-caps, and planning of the budget process.

  • Thorough knowledge of mail room operations and procedures
  • Thorough knowledge of mail room equipment i.e., photocopiers, postage meters, OCR reader/sorter, and automatic inserter
  • Working knowledge of bank operations and procedures
  • Excellent leadership and motivational skills
  • Good analytical skills; ability to analyze and select the most cost effective sort scheme when using the OCR and the ability to reconcile postage machines
  • Good PC and software skills
  • Ten-key by touch
  • Good verbal communication and interpersonal skills
  • Valid drivers license in order to transport mail to and from post office
  • Ability to type 35 wpm
This level of knowledge is normally acquired through completion of high school or GED and a minimum of 2 years mail processing experience.
