The Lease Administrator is primarily responsible for property accounting and lease administration for BOKF’s real estate portfolio. Prepares reports for the annual budgeting process, building operating expenses, critical dates and BOKF insurance report updates. Administers corporate lease accounts receivables and payables including calculating and billing bank tenants for monthly operating expenses; responds to all building insurance requests and maintains the department’s insurance report.

PRINCIPLE DUTIES AND RESPONSIBILITIES:
  1. Administers BOKF’s real estate portfolio. Processes rent receivables and payables, abstracts new leases and renewals, ensures required insurance is met and maintained, reports critical dates and general obligations of business units. Prepares accurate monthly lease income/expense information for all properties for the Division Controller’s financial tracking. Evaluates and updates all Corporate Real Estate recurring payments and government ACH receivables.
  2. Creates reports utilizing IWMS data base system. Enters information to be maintained in the IWMS and regularly audits information to ensure accuracy. Generates and distributes reports from the IWMS. Customizes reports based on information required.
  3. Responds to landlord/tenant inquiries with written correspondence in order to facilitate lease commitments. Serves as primary BOKF contact for payment issues and preserves good tenant relationships by ensuring all lease documentation terms are faithfully followed.
  4. Gathers yearly expense data from division controller to establish yearly property operating cost; and subsequently prepare BOKF tenant lease reconciliations.
  5. Processes vendor billings and expense claims according to Corporate Accounting policies and procedures; resolves billing irregularities. Assists in preparation of budgets and forecasting; reviews and resolves budget variances for administrative activities.


KNOWLEDGE, SKILLS and ABILITIES:
  • Prior experience with property lease administration
  • Experience with accounts payable/receivable procedures [general understanding of GAAP accounting principles a plus]
  • Familiar with real estate portfolio management
  • Excellent written and oral communication skills
  • Excellent PC skills including spreadsheet and word processing applications
  • Strong organizational, analytical, organizational and planning skills
  • Above average attention to detail
  • Ability to problem solve independently
This level of knowledge is normally acquired through a Bachelor’s Degree in Accounting with 3-5 years job related experience in AP/AR, extensive lease administration and/or property management experience; or 9-11 years related work experience.
