Virtual Vault Administrator

The Virtual Vault Administrator is responsible for coordinating daily activity from the vault outsource provider(s) of cash vault services for BOKF; communication with customers and Account Management in Treasury Services, regarding outages, new business, corrections, and access information (4) performing various duties related to cash control levels, Federal Reserve cash orders, balancing and customer account verifications. (5) Ensures compliance with all control policies and daily business.

PRINCIPLE DUTIES AND RESPONSIBILITIES:
  1. Protects the assets of BOKF at outside providers by identifying, developing, and recommending processing standards, policies, and procedures. Provides clear concise written guidelines so that others can perform the duties if needed. Minimizes losses through effective internal controls; ensures vendor internal work procedures are consistent with department and ensures service level standards are met. Acts as point of contact for all operational issues from virtual vault providers.
  2. Responsible for performing these various duties daily:
    • Balancing vendor vault locations to work performed via multiple media, i.e. electronic transmission, file transfers, website content
    • Controlling cash levels of the virtual vaults and ensures levels are within specified guidelines
    • Order coin/currency from the Federal Reserve; verifies inventory of coin and currency on hand; determines coin/currency needs for following week; verifies coin/currency deposit shipment going to Federal Reserve by vendor vault location
  3. Responsible for the following communication and/or customer contact:
    • Consult with CCSR staff regarding customer outages in their deposits or other issues
    • Work with Treasury Management account officers and CCSR’s regarding new business, customer corrections and access to the Change Order VRU
    • Contact vendor regarding generation of late and emergency customer change order requests
  4. Researches and resolves complex problems which require handling beyond staff experience and knowledge. Becomes the single point of contact for Federal Reserve Bank corrections and issues involving the virtual vault vendor.


KNOWLEDGE, SKILLS and ABILITIES:
  • Thorough understanding of operating procedures and policies of Cash Operations
  • Thorough knowledge of production management, operations and delivery systems
  • Basic knowledge of accounting principles
  • Excellent PC skills including word processing and spreadsheet applications
  • Excellent interpersonal skills including oral and written communication skills
  • Excellent research and problem solving skills
  • Working knowledge of all equipment used in vault operations
  • Good aptitude for detail
This level of knowledge is normally acquired through completion of Bachelor’s Degree in Management or a business related field with 2 years operations experience and at least 2 years experience in a supervisory capacity or equivalent experience of 8 years in operations which includes 2 years in a supervisory/managerial capacity.
