The Client Service Associate II is an intermediate level position responsible for working with Private Wealth Officers and high net worth clients across several delivery platforms, including banking, trust, brokerage, financial planning, and investment management. Primarily responsible for administrative support to the Client Advisors, Bankers, Trust Officers, Financial Planners, and managers.  Performs daily servicing activities with the goal of delivering superior client service.

PRINCIPLE DUTIES AND RESPONSIBILITIES:

  1. Interacts with internal and external clients, officers, vendors, and COIs via telephone, written communications, or meetings regarding problem resolution and account maintenance.  Moderate level of decision making.  Serves as liaison between operational and support areas and clients. Performs research and communicates resolution of problem to clients such as account transactions and operational issues. 
  2. Provides direct technical support for officers in administration and management of client accounts, such as monitoring, reconciling and depositing, preparing complex disbursements from accounts, researching costs and providing accounting assistance; funding assets into and distributing assets from accounts. Interacts daily with internal and external contacts to ensure that all account activity such as account opening and closing, payments and requests, loan advances, deposits, distributions, wire transfers, loan bookings, DDA transfers and receipts are processed accurately and timely; ensuring adequate cash positions in investment, brokerage and trust accounts. 
  3. General assistance in all aspects of account administration in accordance with governing instruments, tax and fiduciary law, applicable fiduciary accounting standards, and local probate code, consistent with BOKF policy.  May initiate new loan requests and loan renewals.

    Establishes set-up and support such as:                               

    • Preparation of correspondence                                        

    • Developing original drafts for review and approval                                                                                     

    • Clear overdrafts and document uninvested cash      

    • Review discretionary requests and set up discretionary payments                                                        

    • Verify fees                                                                               

    • Systems training            
  4. Utilizes company systems; looks up balances, daily entries; makes transfers between customer accounts and takes information for customer wires, and general sales information.

    Thorough knowledge and understanding of the following: 

    • Lending practices and policies                                               

    • Loan documentation requirements and regulations                                                                            

    • Brokered and managed investments                                 

    • Securities movement and trust operations
  5. Thorough understanding of a multitude of software products and the ability to understand new applications. Maintains familiarity with the client base in order to provide high quality customer service and to ensure optimum marketing potential (e.g., answers incoming phone calls and responds to email regarding client inquiries). Ability to leverage Outlook to maintain calendars and set appointments. May meet with client to obtain signature and gather or deliver required documents.

 

 


KNOWLEDGE, SKILLS and ABILITIES:

 

 

  • Thorough knowledge and understanding of banking practices and policies, including loan documentation requirements and regulations, and deposit account opening and regulations.
  • Ability to deliver excellent customer relation skills providing superior service quality.
  • Excellent interpersonal, verbal, and written communication skills.
  • Advanced organizational and time management skills, including the ability to handle multiple tasks simultaneously in a competent and professional manner.
  • Self-directed and self-motivated individual with the ability to work in a team-oriented environment.

This level of knowledge is normally acquired through completion of a Bachelor's degree with 3-4 years' experience; or 8-9 years equivalent work-related experience.
