The Executive Assistant to ELT provides advanced administrative support to members of the Executive Leadership Team; exercises considerable discretion in the performance of duties and responsibilities; interacts with executive management team relating to activities of Bank-wide interest, including board meetings, and merger and acquisition activities. 

Job Description

The Executive Assistant to ELT provides advanced administrative support to members of the Executive Leadership Team; exercises considerable discretion in the performance of duties and responsibilities; interacts with executive management team relating to activities of Bank-wide interest, including board meetings, and merger and acquisition activities.  Primary duties and responsibilities include: allocating ELT’s available time to ensure high priority objectives are accomplished, initiate frequent discussions with ELT to prioritize objectives, scheduling requirements and potential conflicts; effectively block scheduled meetings and phone calls to reduce adverse impact on achieving higher priority objectives; place special emphasis on organizing involvement in the business development process, acquisition support, and other defined objectives; prepares correspondence, reports and memoranda.

How You'll Spend Your Time

  • You will coordinate and maintain ELT’s calendar to ensure that high priority objectives are accomplished; scheduling includes factors and requests from Tulsa community leaders, heads of companies, outside boards ELT serves on, BOK chairman, BOK executive management and officers; reschedules meetings and appointments when necessary with little or no direction when required without interfering with business objectives; acts as communications liaison bank-wide.
  • You will make frequent routine and complicated decisions on ELT’s behalf pertaining to external and internal incoming mail and phone calls; ensures follow up on external and internal appointments and correspondence, often times serves a liaison between the company and ELT in order to ensure the ELT’s time is spent on matters of great significance.
  • You will initiate organization of upcoming customer events/trips, prompting on invites, preparing and handling agenda information, maintain files on event history for future opportunities. Extends invitations on ELT’s behalf for entertainment in written form and via telephone communication, performs special projects as assigned; assists ELT with executive level employment offers in preparation of offer materials.
  • You may manage one or more Administrative Assistants, manage the work flow, tasks for the day and duties to be performed for special events, stay abreast of office procedures, public relations functions, BOK consumer programs and ensure Executive’s participation when appropriate.

Education & Experience Requirements

This level of knowledge is normally acquired through completion of a Bachelor's Degree in a Business related field and 6-8 years’ executive level administrative experience or 10-13 years’ equivalent work experience.

  •  Proficient knowledge of: file maintenance, English grammar, appropriate standards regarding letters, memorandum, composition, and proper telephone etiquette
  • Advanced PC and software application skills; includes GroupWise Scheduler, Quattro Pro, and Word 
  • Excellent understanding of bank operating practices and procedures
  • Advanced interpersonal, verbal, and written communication skills
  • Advanced organization skills; ability to handle multiple complex priorities simultaneously in a competent and professional manner
  • Ability to work with data/information requiring a high degree of confidentiality
  • Ability to work on time-sensitive issues with poise
  • Ability to interact with members of the Board with the utmost professionalism
  • Ability to keep personal matters of the Executive confidential
  • Ability to handle personal finances, calendar and tasks for the Executive
